Questions are there to be asked! We often see a number of questions about rental and our conditions.

An overview of these most frequently asked questions, and the corresponding answers, can be found below.

Termination, early termination, notice period and penalty system

If you want to terminate your rental contract after the minimum contract period has expired, you must inform us by means of a termination form. For a valid termination the termination form must be submitted to the landlord and to Pro-Housing with a minimum notice period of 1 month. Please note that this should always be submitted before the 1st of the month.

If a tenant terminates the rental agreement prematurely, within the minimum rental period, the costs for the re-letting and additional costs will be charged to the tenant. The costs for re-letting are € 495,- Incl. VAT. The early termination can only take place when the landlord agrees and the tenant agrees to the set conditions. A new suitable tenant must be found, which will be screened by us and the landlord. There is also a penalty system consisting of a fine of 1 month's rent when the tenant itself supplies a candidate or a fine of 2 months' rent when Pro-Housing has to search for a candidate. The substitute tenant must enter into a contract for a minimum period of 12 months and you remain liable to pay until a suitable tenant is found.

Subletting, conditions and costs

In principle subletting is not allowed.  For a legitimate reason such as a work/school internship, an exchange or moving to another country, an exception to this rule can be made under certain conditions and in consultation with the landlord. These conditions imply that nothing may change for the landlord, so you will always remain responsible for paying the rent to the landlord. A subtenancy agreement will be drawn up in which the payment obligation of the subtenant to the tenant will be recorded. The tenant himself has to provide a suitable and appropriate subtenant which will be screened by us and the landlord.

Setting up a subtenancy agreement involves costs, which are € 145,-.

Contract changes, conditions and costs

In certain situations, an adjustment will have to be made to the current rental contract. Should a change be necessary we will always consult with your landlord, if he agrees with the request a contract change can be made under certain conditions.

Adjusting a rental contract involves costs, which amount to €225,-.

Website registration costs, why and is it a one-off?

We use a registration fee of €20,00 to plan viewings via Pro-Housing Rooms, this is of course a one-off payment. There is a huge demand for student rooms, as a result of which students often respond to dozens of rooms at the same time. The registration fee ensures that active, registered house hunters have priority on our website.

Maintenance/repairs to the property

Every property will need to be maintained and will eventually need certain repairs. To avoid misunderstandings, it is determined by law whether this should be resolved by the landlord or the tenant. There is something wrong and/or broken in the building. Where do I report this?

If you have received a room rental contract from us, you will see the contact details of your landlord/propertymanager at the top of the contract. For newer contracts, this can be found under Article 4.18.

If Pro-Housing is the property manager of the building in which you live, you can contact info@pro-housingmanagement.nl. Always check first under the heading "Maintenance/repairs to the property" whether the problem should actually be solved by the landlord or by the tenant himself.

In case of a regular tenancy agreement, you can find the contact details of the property manager under Article 9.

The final inspection of the room, what is expected?

Please let us know at least 2 weeks before the end of the tenancy agreement when the final inspection can take place. Please take the following into account when preparing the final delivery:

  • The rented property must be completely empty. (personal belongings and taken over furniture must be removed).
  • The rented property must be handed over properly cleaned.
  • The walls should all be white, and without any holes or plugs.
  • Everything must be clean, any cupboards, also inside and on top, oven, fridge, cooker, extractor + filter, dishwasher + filter
  • No calcium stains in bathroom or kitchen
  • Windows have to be washed
  • Person needs to be signed out at the municipality
  • Keys need to be returned during the inspection

When will I receive my deposit back?

During the final delivery we will make an inspection report, this report will be sent to the landlord, tenant and Pro-Housing. In this report the condition of the room will be inventoried at the moment of the final delivery. The same inspection report is made at the beginning of the rental period. The landlord has a maximum of 3 months to compare the inspection report of the beginning and the final inspection and to make any repairs if necessary. The deposit will therefore be returned within 3 months.
